The Griffons Den — Membership Terms

These Terms are the contract between you and The Griffons Den when you take a seat at a campaign, book a drop-in or a first-session trial, join a waitlist, book a private one-shot, or register for a season. Your cancellation rights are in Section 10.

Parties. In these Terms, "the Club" means The Griffons Den, and "you" and "your" mean the Member, being the person who holds the account.

YOUR MONTHLY PAYMENT RESERVES YOUR SEAT. A seat at a table is yours for as long as you keep paying. On holiday, off sick, or just busy, the seat stays reserved for you and nobody else can take it. Tables usually fill up and full tables have waitlists: if you cancel, your seat is released to the next person on the list.

YOUR MEMBERSHIP RENEWS EVERY MONTH UNTIL YOU CANCEL IT. You are responsible for managing your own account. Not attending does not cancel it. Like a streaming subscription, we reserve your seat during the time you are a member and payments accrue automatically to keep your seat reserved regardless of whether you attend or not. The Club does not refund months you did not attend, because your seat is held and cannot be filled by someone else. Cancelling is one click from your dashboard (Section 10) and takes effect at the end of the current month.

2. What you are buying

2.1 Reserve Seating. Your membership is a number of table seats. There are two kinds of seat, and holding either makes you a member with the same rights under these Terms:

Campaign seats are counted in halves: a weekly table takes one seat and a bi-weekly table half a seat. A seat at a table is a reserved place at that campaign. It is yours whether or not you attend a given session; it is held through absences and the annual holiday closure; and it is released to the waitlist only if you leave the table or reduce your membership. A seat your membership holds but has not placed at a table remains yours and remains payable, and you may place it at any table with seats available.

Campaigns run in person at the Club's premises, run by a Game Master, for a session of about three hours for adult campaigns and two hours for family or kids campaigns, weekly or bi-weekly as shown on the campaign page.

2.2 Each seat includes: your place at that campaign's scheduled day and time; the seat held for you for as long as you are a member, including through the closure in Section 4; and use of the Club's table space, terrain, dice, shared game books and shared game accessories. You are also welcome to bring your own food and drink, including alcohol for adult games only.

2.3 Not included: food or drink (the Club is private and sells none), retail purchases, private one-shots (Section 13), and special events unless the Club says otherwise. A season is a membership of its own kind and is bought separately (Section 14).

2.4 The account holder and Seat Holders. The person who holds the account is the Member (the account holder). The person who attends in a seat is the Seat Holder, usually the same person, although a Member may hold seats for family or friends, at one campaign or several. You tell the Club who each Seat Holder is and may change it from your dashboard.

The person who holds the account is responsible for it: for the seats it carries, for the charges it incurs, and for the conduct of any person they nominate to use a seat. Changes to a membership can only be made by the account holder. Every seat is priced the same; there is no multi-seat discount.

2.5 Capacity. A table normally seats eight. The Club may, at its own discretion, admit a ninth or tenth player at a table; nothing else changes a table's size. When a table is full you may join its waitlist (Section 11).

2.6 Players under 19. Some campaigns admit players under the age of 19. A person under 19 may be a Seat Holder only on the membership of a parent or guardian who is 19 or older and who holds the account. That adult enters into these Terms on the minor's behalf, is responsible for the minor's conduct at the Club's premises, and indemnifies the Club against any claim arising from it. A person under 19 cannot hold an account, book a drop-in, or book a private one-shot in their own name. Where a campaign is described as a family campaign, the Club may require an adult to remain on the premises while a minor is at the table; where it does, the campaign page says so.


3. Sessions

3.1 Campaigns run on a fixed day and time, weekly or bi-weekly, as shown on the campaign page, except during the closure (Section 4) and on flex days (Section 5).

3.2 Session Value. The Session Value is $27.50 before GST, being $28.88 with GST. It is the value of one session of one seat. Any credit under Section 5 is the Session Value with GST, $28.88, that being the amount you pay. Game Master fees are calculated from the Session Value before GST. The drop-in price is set separately under Section 15.2.

How the monthly price is calculated. Membership is charged per session, paid monthly in advance. Each weekday falls either four or five times in a month, with an average of eight months a year having four occurrences and four months a year having five. Monthly membership is therefore calculated on an average of 4.33 sessions per month, times the Session Value: 4.33 × $27.50 = $119.08 before GST, which is $125.03 taxes included. This gives a standardised, harmonised monthly rate even though some months hold four sessions and some hold five. A bi-weekly seat is calculated the same way on half that number. Nothing is prorated.

3.3 Statutory holidays are ordinary session days unless your table agrees to move the session.

3.4 Rescheduling. If the Game Master and every Seat Holder at a table agree to move a session to another date within 7 days, that is a rescheduled session, not a cancelled one.

3.5 Missed sessions. Membership reserves your seat for the whole of each paid month whether or not you attend. Sessions you do not attend are not refunded, credited, or carried forward.

3.6 Drop-in Stand-by. If a Seat Holder has not arrived 15 minutes after a session's start time, the Club may let a drop-in player take that chair for that session only. Your seat stays reserved; only the chair at that one session is used.

3.7 No guarantee of a particular Game Master or campaign. Game Masters change, and campaigns begin and end. A change of Game Master, or the end of a campaign, is not a breach of these Terms.


4. Annual closure

4.1 The Club closes for a holiday closure of 14 consecutive days each year. This year: 22 December 2026 to 4 January 2027 inclusive. The Club publishes the following year's dates by 1 October each year. The dates and the length may change on notice under Section 16.

4.2 Your monthly price is the same in a month that contains the closure. Your seat is held through it. The Club will endeavour to run optional one-shots during the closure if sufficient members of the table are available and interested in attending; they are not part of your membership.

4.3 The closure is the December and January flex days. Every campaign has one flex day per calendar month (Section 5). The holiday closure spans two calendar months, and it is that campaign's December flex day and its January flex day, scheduled in advance rather than called during the year. No credit arises for sessions missed during the closure, and no further flex day is available in either December or January.


5. Flex days and credits

5.1 A flex day is a scheduled session that the Club cancels, for any reason, at its sole discretion, most commonly for illness or Game Master unavailability.

5.2 Each campaign has one flex day per calendar month and twelve per year. Flex days within that limit are not credited; they are reflected in the price. A flex day not used in its month is not carried into the next.

The December and January flex days are scheduled in advance as the holiday closure (Section 4). That leaves ten flex days a year that the Club may call during the other ten months, one in each.

5.3 Where the Club cancels a session beyond those limits, it credits every active seat at that table $28.88, being one Session Value with GST, against the next monthly payment, or refunds that amount within 15 days where the membership has ended. This applies only to cancellations made by the Club. A session that does not run because fewer than four players are available (Section 5.6) is neither credited nor counted as a flex day.

5.4 The Club gives notice of a flex day as early as it reasonably can, by email or text message.

5.5 Substitute sessions. Where your Game Master cannot run a session, cancellation is the Club's last resort. The Club will make every effort to arrange another Game Master to run a one-shot or another game in your slot, and the Club chooses the substitute. A session run by a substitute Game Master counts as a delivered session and not as a flex day. Only where no substitute can be found will the session be cancelled and a flex day used.

5.6 Minimum players. A session requires at least four players to run. Where fewer than four are available, the Game Master may cancel the session, or, in consultation with the players who are able to attend, continue with an alternate one-shot format such as a Big Bad Boss Battle, a battle royale, or something devised on the spot. This is at the complete discretion of the Game Master. A session cancelled or replaced for low numbers is not a flex day and is neither credited nor refunded.


6. Price and payment

6.1 Monthly price. Every price the Club displays and every price it charges is the total payable, taxes included. No tax is added at checkout.

Your monthly price is calculated from the seats your membership holds: each whole seat at the weekly rate and any remaining half seat at the bi-weekly rate. A member holding two weekly seats pays $250.06 a month; a member holding one weekly seat and one bi-weekly seat pays $187.55 a month.

The Club may change these rates by notice under Section 16. The rate in force is shown at all times on the members portal and on your dashboard.

No joining, administration, booking, failed-payment or cancellation fee is charged. The only amounts payable by you are the monthly price, the price of seats you add under Section 6.5, the price of any season for which you register under Section 14, and any drop-in, one-shot or event you book.

6.2 Month to month, paid in advance. Your membership is a one-month term that renews automatically each month until you cancel. Each monthly payment buys the coming month.

6.3 When payments are taken. Before you pay anything, the checkout states the date of your first payment and the day of the month on which every payment after it will be taken. Those two dates are confirmed to you in writing under Section 20.6 and are shown on your dashboard. No payment is taken on any other date without your separate consent.

Your first payment falls on whichever of these the checkout states: the day you sign up; the campaign's start date, where the campaign has not yet begun and your payment card is registered at sign-up under Section 6.4; or, for a member moving from the Club's previous booking system, the date confirmed to you in writing, which is never earlier than the date your previous membership is paid through.

Every payment after the first is taken one month after the one before it, on the same day of the month. No amount is prorated. Where that day is the 29th, 30th or 31st, a shorter month is billed on its last day.

6.4 Payment method and your authorisation. Payment is made in Canadian dollars by a credit or debit card you register at sign-up. The card is registered with and held by Stripe Payments Canada ULC, the Club's payment processor; the Club does not see, receive or store your card number, and holds only the card's brand and last four digits for your identification.

By registering a card you authorise the Club to charge that card, through Stripe, for the monthly price then in force, on the dates set out in Section 6.3, and for no other amount and on no other date without your separate consent. That authorisation continues until your membership ends under Section 10 or you withdraw it by replacing or removing the card, and withdrawing it does not by itself cancel your membership or any amount already due.

You are responsible for keeping a valid card registered. You may replace the card at any time from your dashboard, and the new card becomes the card authorised under this Section. Where no valid card is registered, Section 7 applies.

6.4a Pre-authorized debit. For a weekly or bi-weekly seat you may instead pay by Canadian pre-authorized debit from a chequing account. If you choose it, you authorise the Club, through Stripe, to debit your account for the monthly price then in force, on the dates set out in Section 6.3, under the pre-authorized debit agreement shown to you and emailed to you at sign-up. You may cancel that agreement at any time by contacting the Club. A debit can take up to five business days to clear, and your seat is reserved when the first debit succeeds. One-shots, drop-ins and seasons are paid by card.

6.5 Changing your membership. The following rules apply to every change, by whomever it is made:

6.6 Your account and your email address. You sign in by way of a link the Club emails to you; there is no password. You are responsible for the security of your email account. Anything done on the members portal through your sign-in link, including adding a seat, making a booking, cancelling a membership or signing a document, is deemed to have been done by you.


7. Non-payment

7.1 Your seat is reserved by your monthly payment. Where a payment fails, the Club retries it and notifies you by email. Until the payment succeeds your membership is suspended and you may not continue playing.

7.2 Where the payment remains outstanding 7 days after it fell due, your seat is released to the waitlist and your membership ends. You owe the Club nothing further; you have simply not purchased the month.

7.3 To return, sign up again for whichever seats are then available. A released seat is not held for you.


8. When your membership starts

Your membership starts on the start date confirmed in writing by the Club at sign-up, being your first session or, where the campaign has not yet begun, the campaign's first session.


9. Renewal

Your membership renews automatically each month by recurring billing on your billing day, at the price then in force, until you cancel it. The Club does not send a reminder before each renewal and does not cancel memberships on your behalf on account of non-attendance. Membership works like a streaming subscription: it automatically renews and the Club continues to reserve your seat so long as you do not cancel. While your membership is active your seat is not given to anyone else. That reservation is the substance of membership and what distinguishes it from a drop-in. Cancel from your dashboard under Section 10; your seat then runs to the end of the current month and no further payment is taken. Stripe emails a receipt after each charge showing the next billing date.


10. Cancellation

10.1 Cancellation at any time. You may cancel your membership at any time, before or after any renewal, without charge or penalty, from your dashboard on the members portal. Cancellation is effected through the portal. The Club records it at the moment you confirm it there, and the portal emails you an acknowledgement.

10.2 What happens when you cancel. Membership is paid monthly in advance. When you cancel, no further payments are taken. Your seat stays yours until the end of the current month, and then ends. No refund is owed for that month.

10.3 Reducing rather than cancelling. A Member with several seats may reduce their membership and keep the rest; Section 6.5 says how, and when it takes effect.

10.4 The Club may end a membership at its discretion. The Club may end any membership or any seat at any time, by email, for any reason. Your seat then runs to the end of the current month and ends. No further payment is taken and no refund is owed.

10.5 Closing, merging or moving a table. The Club may close a campaign, merge two campaigns, or move your seat to a comparable table. Where the Club moves your seat, the seat follows you to the new table with no change to your price or billing day. Where the Club closes a table and cannot offer a comparable seat, your seat is released at the end of the current month.

10.6 No transfer. You may change who sits in a seat (Section 2.4), but the membership and the account are yours alone and may not be sold, given, lent or transferred to anyone.

10.7 Billing questions and chargebacks. If you believe a charge is wrong, raise it with the Club first, by email, and the Club will answer within 3 days. Most billing questions are resolved the same day.

A month is delivered for the purposes of this Section once your seat has been reserved for any part of it, whether or not you attended, because the reservation is what you purchased (Section 9).

Where you dispute with your card issuer a charge for a delivered month without first raising it with the Club:

You agree that the Club may produce these Terms, your signature, your attendance record and your payment history to your card issuer, to the payment processor and to any other party determining the dispute.

10.8 No refunds. The Club does not refund any part of a paid month. This applies to cancellation, reduction, absence, illness, relocation, a change to your table's day, time, room or Game Master, and the ending of a campaign. Your seat runs to the end of the current month, and that is what you have purchased.

Exception: the Club refunds sessions it cancels beyond the flex allowance, as set out in Section 5. The credit is applied to your next payment, or refunded within 15 days where your membership has ended. This applies only to cancellations made by the Club and not to sessions that do not run because fewer than four players were available (Section 5.6).

Your dashboard records the date and time of any cancellation, and that record is your proof of notice.


11. Waitlist

11.1 Joining a waitlist. Where a table is full you may join its waitlist, giving your name and email address and registering a payment card under Section 6.4. Nothing is charged when you join a waitlist, and nothing is ever charged without your say-so. The card is registered so that a seat can be taken in one click when one opens.

11.2 When a seat opens. The Club emails the same notice to everyone on the list, with a link to take the seat, sent in list order one hour apart. The seat is not held for anyone: it goes to the first person to take it. Taking the seat charges your registered card the monthly price then in force and starts your membership under Section 8. Until you take it, nothing is charged.

11.3 Leaving. You may leave a waitlist at any time using the link in the Club's emails. Leaving removes your card from that waitlist. The Club removes you from a waitlist, without charge, where the card you registered is no longer valid and you do not replace it within 7 days of being asked.


12. Reserving a seat at a campaign that has not started

12.1 What a reservation is. A campaign that has not started yet shows the minimum number of players it needs, and how many have reserved so far. You reserve a seat by signing up in the ordinary way: you sign these Terms, register a card under Section 6.4, and pay your first month in full at once. Your seat at that campaign is then yours and is held for you.

12.2 Nothing further is charged until the campaign starts. No second payment is taken while the campaign waits. When the minimum number of players is reached the campaign starts, its first session is scheduled at least 7 days later on its stated day and time, and the Club emails you that date. Your paid month runs from that first session, and your next payment falls one month after it.

12.3 Your first payment is a deposit. Campaigns are an ongoing commitment, and joining one requires commitment. Starting a campaign requires a core nucleus of players to reach the critical mass at which the game can begin. Your first payment secures your seat and holds the campaign open while the remaining players are found. If you leave the campaign or cancel before it starts, your first payment is not refunded. That is what the payment is for: the Club holds the seat, and the other players who have reserved are relying on it.

12.4 If the Club cancels the campaign. The Club may cancel a campaign that has not started, at its discretion. Where it does, every player who reserved is refunded their first payment in full within 15 days, their seat ends, and each is emailed.

12.5 No time limit. A campaign waits until the Club starts it or cancels it. You agree that no time limit applies to a reservation, that the Club is not required to start or cancel a campaign by any date, and that the passage of time alone gives no right to a refund of your deposit.


13. Private one-shots

13.1 Definition. A private one-shot is a single stand-alone game booked by one customer for that customer's own group, in the Club's private gaming room. It is not a membership, includes no seat, and requires no membership. Any person 19 or older may book one.

13.2 Price, taxes included.

Online booking is available for 2 to 6 players. For larger groups, write to the Club and a quote will be provided.

13.3 Who may play. At an adult one-shot the majority of players must be adults, although one or two players under 19 may attend. At a family one-shot there must be at least one adult for every two players under 19, and an adult who has booked must remain present throughout.

13.4 Payment. The full price is paid at booking, by card, through Stripe. Nothing is owing on the day.

13.5 Changing or cancelling a booking. No refund is given for a non-attendance. To move your booking, contact the Club no later than 12 hours before your start time and a new date will be arranged, subject to a room being available. The Club may be unable to re-book on shorter notice. Where the Club cancels your booking for any reason, you are refunded in full within 15 days.

13.6 Food and drink. The Club does not sell food or drink. You are welcome to bring your own, including a birthday cake. At an adult one-shot you may bring alcohol for adults. A mini-fridge, a microwave and a kettle are available for your use during the game.


14. Seasons

14.1 What a season is. A season is a membership for a fixed run of sessions, with its own start and end dates and its own price, each shown on the season's page. Registering for a season gives you a season seat, being a reserved place at every session of that run, carrying every right a member has under these Terms. The seat is yours whether or not you attend, it is held through absences, and it is not given to anyone else while the season runs.

14.2 How a season differs from a campaign seat. A season does not renew and does not bill monthly. You pay the season's price in full at registration unless the season's page says otherwise, and your season seat ends when the season ends. The monthly-seat rules in Sections 6.1 to 6.5, 7, 8, 9 and 10.1 to 10.3 do not apply to a season seat. Everything else in these Terms, including Sections 10.4 to 10.8, applies to both kinds of seats equally.

14.3 Holding both. You may hold campaign seats and a season seat at the same time. They are bought and paid for separately.

14.4 Missed sessions and cancellation. As with any seat, sessions you do not attend are neither refunded, credited nor carried forward, and a season seat is not refunded where you leave the season early. Where the Club cancels a session of a season, the flex and credit rules in Section 5 apply as they do to any table, save that the Club may instead extend the season by the number of sessions missed, in which case no credit arises. Where the Club cancels a season before it begins, you are refunded in full within 15 days. Where the Club cancels a season part way through, it refunds the sessions not delivered within 15 days.

14.5 Third-party seasons. Some seasons are run by third parties at the Club's premises, as detailed on the season's page. Where that is the case, your contract for that season is with the person named on the page and not with The Griffons Den, and that person's terms apply.


15. First-session trial and drop-ins

15.1 First-session trial. On request, a first-session trial may be arranged, once per person, with nothing to pay and no card required. No seat is reserved and no membership is conveyed until you register a membership. This Section does not apply to season memberships.

15.2 Drop-in. A drop-in is one session at an open table for $34.99, taxes included ($33.32 before GST), paid at booking, with no membership required. Drop-ins are sold one at a time and the Club does not sell packs. Where the session is cancelled by the Club, you are refunded in full within 15 days.

15.3 Trial and drop-in visitors count toward the table's capacity for that session and must comply with the Code of Conduct.


16. Changes to these Terms

16.1 Two ways a change may be made. These Terms may be changed in either of two ways:

16.2 Terms that may be changed. The following terms may be changed with notice: the monthly price and the drop-in price (Sections 6 and 15); the dates and length of the annual closure (Section 4); the day, time, room or Game Master of your campaign (Section 2); the Code of Conduct (Section 19); and the Club's venue, where an event such as a flood or fire renders the current premises unusable, in which case the Club may move sessions to another venue in Greater Victoria on such notice as the circumstances allow. The cancellation terms in Section 10 may never be changed by notice in a way that increases your obligations or reduces the Club's. Any term not listed in this Section may be changed only by signature.


17. Risk, and the limits of the Club's responsibility

17.1 What you accept. The Club's campaigns and events are social tabletop games held in person at its premises. You and every Seat Holder you nominate attend those premises at your own risk. You accept the ordinary risks of attending, including moving about a shared room, stairs, furniture, other people, and food and drink brought by others, and you are responsible for your own belongings. The Club is not responsible for property you bring and leave behind, lose or damage, including vehicles and their contents in the parking area.

17.2 Release. To the fullest extent permitted by law, you release the Club, its owner, its Game Masters and its volunteers from every claim for injury, illness, loss or damage suffered by you or your Seat Holders arising from attendance at the Club's premises or participation in a session, however arising, including through the Club's own negligence. This release is a term of your membership and is given by you when you sign these Terms.

17.3 Limitation of liability. The Club is not liable for indirect or consequential loss. The Club's total liability to you for any matter arising out of these Terms is limited to one month's membership price, being the amount you paid the Club for the month in which the event giving rise to the claim occurred.

17.4 Your responsibility and indemnity. Where the Club's premises or property are damaged by you or by a Seat Holder you have nominated, you pay the damages. You indemnify the Club against any claim, loss or cost brought against it arising from your conduct, or the conduct of your Seat Holders, at the Club's premises or in connection with your membership.

17.5 Refusal and removal. The Club may refuse entry to, or remove from its premises, any person at any time, for any reason or none, at its sole discretion. Removal does not of itself end your membership; your seat continues as normal unless the Club ends it under Section 10.4 or Section 19.

17.6 Alcohol. The Club does not sell or serve alcohol. Any alcohol you or your guests bring remains yours, and you are responsible for its consumption and for the conduct of any person who consumes it. The Club may stop the consumption of alcohol at any table at any time. The Club is not liable for any matter arising from alcohol you bring.

17.7 Events beyond the Club's control. The Club is not in breach of these Terms, and owes you nothing beyond what Section 5 provides, where it cannot run a session or open its premises by reason of an event beyond its control, including weather, power or water failure, fire, flood, the act or omission of the landlord, or a public-health or government order. Sessions lost in those circumstances fall under the flex and credit rules in Section 5.

17.8 Surveillance, photography and recording. The Club's premises are under video surveillance. By attending, you and every Seat Holder you nominate consent to being recorded, and the Club may retain and use that footage as it sees fit, including for security, for the safety of persons and property, to investigate any incident or breach of the Code of Conduct, to establish or defend a claim, and to provide to an insurer, a law enforcement agency or a court.

You grant the Club the irrevocable, royalty-free right to photograph, film and record you and any Seat Holder you nominate at its premises, and to use, reproduce and publish those images and recordings in any medium for the members portal, for promotion and for any other purpose of the Club's business, without further consent, notice, attribution or payment. Where you nominate a Seat Holder under 19, you grant that right on their behalf as their parent or guardian and confirm you are entitled to do so. This grant survives the end of your membership.

The Club may, at its sole discretion, agree to a request that a particular person not be photographed, but is under no obligation to do so.

You may not record, stream or photograph a session, or any person at it, without the Club's prior written consent.


18. Privacy

The Club collects your name, contact details, Seat Holder names and attendance records solely to administer your membership, in accordance with British Columbia's Personal Information Protection Act. The Club keeps this information for as long as you are a member and for the period the law requires after that, and does not sell it or share it with anyone except Stripe, its payment processor, which holds your card details. You may ask the Club at any time what information it holds about you, and to have it corrected. The Club uses your contact details for the notices these Terms require, being schedule, renewal, billing and changes to these Terms, which you receive as part of your membership. The Club sends marketing email only if you tick the separate box for it at sign-up or on your dashboard; you may untick it at any time.

The Club's own records are held in Canada. Stripe stores information in the United States, where it may be accessible to US authorities under US law. There is at present no Canadian payment processor that offers the Club a data-sovereign alternative; the Club will move to one as soon as a suitable alternative becomes available.


19. Conduct

You and every Seat Holder must comply with the Club's Code of Conduct at members.griffonsden.com/conduct, which forms part of these Terms and which the Club may update by notice under Section 16.2. The Club may suspend or end a seat for a breach, without refund.


20. General

20.1 Law and courts. These Terms are governed by the laws of British Columbia, and the courts and tribunals of British Columbia have jurisdiction over any dispute arising from them.

20.2 Assignment. The Club may assign these Terms, and any membership under them, to any person at its sole discretion. A Member may not assign these Terms or their membership.

20.3 No waiver. Where the Club does not enforce a term on one occasion, it does not waive that term and may enforce it subsequently.

20.4 Whole agreement. These Terms, together with the Code of Conduct referred to in Section 19, constitute the whole agreement between you and the Club in respect of your membership. They replace any earlier terms, including the terms of the Club's previous booking system, and any representation made outside them.

20.5 Severability. If any provision of these Terms is held to be invalid or unenforceable, that provision is severed and the remaining provisions continue in full force and effect.

20.6 Your copy. The Club emails you a copy of your contract at sign-up and in any event within 15 days.



SCHEDULE 1 — Notices the Club sends

These are the notices the members portal sends. They form part of how the Club meets its obligations under these Terms.

1. Sign-up confirmation, sent immediately on sign-up. This is your copy of the contract. States: Member and Seat Holder names; campaign, day, time, room; start date; the first and second payment dates under Section 6.3; the monthly price, taxes included; that the membership is month to month and can be cancelled at any time under Section 10; the closure dates; and these Terms attached.

2. Change notice, for a change by notice under Section 16.1: 30 to 60 days before, by a method that proves receipt; what is changing and the new wording; the old and new price if it is a price change, both taxes included; the effective date; and the right to cancel at any time without charge or penalty. For new Terms offered for signature: what has changed in plain words, a link to sign on the members portal, and that the Terms you signed continue until you do.

3. Flex-day notice. Campaign, date, reason, which flex day this is for the month and for the year, the next session date, and the offer to reschedule instead.

4. Cancellation acknowledgement, sent within 3 days. Date received; the last day of the current month; and that no further payment will be taken.

5. Waitlist notice. Sent to everyone on the list, one hour apart in list order. Campaign, day and time; the monthly price, taxes included; the card that will be charged, by brand and last four digits; the link to take the seat; that taking the seat charges that card and that nothing is charged until it is taken; that the seat goes to the first person to take it; and a remove-me link.

6. Notice to members moving from the old booking system, sent at least 30 days before billing on the old system ends. States the new monthly price of $125.03 taxes included, compared plainly with the $113.66 taxes included charged on the old system, which is an increase of $11.37 a month; the confirmed first-payment date under Section 6.3; a link to sign up on the members portal; and that nothing is charged until that date.

7. Migration completed notice, sent to the Club and not to the member, each time a member completes the move. States the member's name, the seats they hold and at which tables, that a valid card is held and has been verified by the Club's payment processor, and the date of their first charge on the new system.



SCHEDULE 2 — Your Membership

This Schedule is completed from the Club's records at sign-up and states the particulars of your own membership. On the public copy of these Terms its fields are blank.

SIGNING

These Terms are signed electronically on the members portal.

How you sign. You are shown Section 17.2, the release, on its own, and you tick to confirm you have read and accept it. You are then shown these Terms in full, together with Schedule 2 as it stands at that moment. You type your full name, tick the box confirming you have read and agree to these Terms, and submit. Typing your name and submitting has the same effect as a signature in ink.

What is recorded. The portal records your typed name, both ticks, the date and time in Victoria, the edition date of the version you signed, your IP address, and a copy of these Terms exactly as they read when you signed them. A copy is emailed to you under Section 20.6 and is available at all times from your dashboard.
